What gets recorded when a file goes in.
One insurance certificate, taken apart. Every piece below is captured on upload, so nothing depends on someone remembering where they put it.
Folder
Where it lives, in a structure your team already understands. Permissions set here flow down to everything inside.
Tags
Insurance, FY2026 and Brisbane at once. The file appears in all three views without three copies.
Text inside
Scans are read on upload, so the policy number is searchable even though nobody typed it.
Expiry
Expiry tags surface a document before it lapses, and saved views turn “expiring this quarter” into a one-click list.
Versions
A replacement never erases what came before. v1 and v2 stay behind v3, stamped, and can be restored or downloaded.
Who and when
Uploaded by R. Kaur, 14 Mar 2026, 9:12am. Deleted files wait 30 days in recovery before they go.
From upload to the day someone asks.
The same certificate, from the moment it’s filed to the moment it’s needed.
Uploaded
R. Kaur drops the PDF into Insurance from her phone, on site.
Read
Its text is extracted, so the policy number and insurer’s name become searchable.

A folder rule adds Insurance and FY2026. She sets the expiry to 14 March next year.
Stamped
It’s saved as version 3. Versions 1 and 2 stay behind it, untouched.
Found
A broker asks for it. Searching “public liability” brings it straight up.
Getting your existing files in.
Migration is the part most businesses stall on, so we do it with you over about a week, rather than handing over an import tool.
- Days 1–2
Map the structure
We agree your folder layout and tagging convention together, starting from a template for your industry if that helps.
- Days 3–4
Bulk upload and scanning
Drag whole folder trees in; we map them to the new structure before anything is committed. Paper goes to our scanning partner and comes back tagged and stamped.
- Day 5
Tag pass
We work through your first few hundred documents with you, so the convention is set before your team starts adding to it.
Questions people ask.
Is there a limit on how deep folders can go?
No. Nest folders as deep as you need, and rename or reorganise them at any time without breaking links.
How do documents get tagged?
On upload, in bulk, or automatically by folder rule, so a file dropped into Insurance picks up the right tags without anyone typing them.
What does search actually look through?
File names, tags and the text inside scanned documents. You can narrow results by date range, folder, uploader and tag.
Do you keep old versions of a document?
Yes. Version history is unlimited, on every document, and earlier versions stay behind the current one untouched.
What happens if someone deletes a file by mistake?
Deleted files are recoverable for 30 days before they are permanently removed.
Can we keep financial records for seven years?
Yes. Retention is configurable, including the seven-year period the ATO requires for financial records.
Where is our data stored?
Your documents are stored in Australian data centres. See our Privacy Policy for the service providers that process limited data overseas.
